An agile approach to international deployment

RUBIX started modernizing its intranet to address several challenges and improve collaboration within the company. When the RUBIX brand was launched, the corporate intranet “Connect” came into being. However, because it relied on SharePoint Online, the intranet had limited features, which led to it not being very popular. It was mainly used for tasks like sharing documents, including quick links, and distributing news.

The initial plan was to extend the intranet to the company’s subsidiaries, starting with France, then continuing in Germany and England. With this in mind, RUBIX was looking for an agile partner to support them with collaborative projects and specific issues related to SharePoint. That’s when BeWe stepped in, proposing Powell and its Powell Intranet solution, which offered benefits in terms of economies of scale. Initially, RUBIX decided to test the Powell Intranet solution as part of a migration to Modern SharePoint. After a successful testing period in 2020, RUBIX decided to deploy the solution in France, covering 2,300 users.

Thanks to a clear vision for internal communication, the deployment was carried out quickly and efficiently. The clarity of the objectives played a crucial role in this success. This deployment was completed on time and within budget, bringing satisfaction to the company.

Following the successful launch of the intranet in France, the project expanded to Germany, where the intranet was deployed in just six months, reaching 1,500 users.

Objectives

Rapidly modernize the group’s intranet.

To tailor the intranet to the needs of internal communication and improve the tools used by employees.

To centralize the employee experience and connect the Digital Workplace using Microsoft 365.

To encourage collective intelligence and collaboration between teams.

To unify the RUBIX brand image across all its subsidiaries through the intranet.

To manage the future deployments of the Digital Workplace in RUBIX’s subsidiaries, promoting uniformity and cost optimization.

 

Project execution

The project was built step by step with our trusted partner, BeWe:

  • Initial testing and deployment in France: RUBIX first tested the solution as part of a migration to Modern SharePoint. After being convinced in 2020, the Group launched the deployment in France, reaching 2,300 people.
  • Expansion in Germany and other countries: Following the success in France, a deployment was completed in Germany within 6 months. By leveraging the elements already developed in France, economies of scale were achieved.

Award-winning modernization

The successful deployment of Powell Intranet allowed RUBIX to benefit from a high-performing intranet that meets internal communication needs more completely and intuitively. This modern solution strengthened collaboration between teams, improved the efficiency of internal processes, and fostered a more dynamic company culture. RUBIX employees quickly adopted Powell Intranet and appreciated its wealth of information as well as its attractive design. In recognition of this achievement, RUBIX’s intranet received the internal award for “Best project to strengthen the engagement of RUBIX teams”.

How to run an ideation campaign

1. Go to project page

Any user can create this page from the campaign website by clicking the “Submit a project” button.

2. Fill in project information

An explanation and a visual to help employees understand how to enter this information.

3. Interaction on the project page

  • To comment on the project to provide feedback or ask for more information.
  • Love the project to promote it.
  • To share the project for communication, whether within a team, on a specific channel, on Yammer, in a particular group, or by email.

4. Project Management for Owners

In addition to the actions that end-users can perform, a campaign site owner can:

  • Select a project as “preferred” or approve it for launch.
  • Modify or delete a project.

5. Modifying or deleting a project

To edit or delete your project, go to your project page. On the left, click the three-dot icon. Click “edit” to modify the properties of your project/idea. Click “delete” to remove this page (your idea).

 

What’s next?

To ensure the effectiveness of this transition, a comprehensive action plan has been developed for the entire community. Specific action plans will be implemented starting in 2024 for each department or directorate, offering a global and personalized approach tailored to the specific characteristics of each entity.

However, the involvement of everyone is crucial to ensure the success of the transition. Internal idea champions must be engaged and integrated as active contributors, working in collaboration with senior management.

Their commitment and active participation will guarantee the sustainability of the actions implemented for a successful ecological transition.

In this spirit, for example, collaborative projects on the “civilization of ideas” are open to employees who wish to get involved.
